Job Description: We are seeking a dedicated and detail-oriented Parts Quotation and Supply Chain Specialist to join our team. This position is responsible for managing customer service, MRO jobs, and procurement tasks within NorthAmCon, LLC. The ideal candidate will have strong communication skills, the ability to work independently, and a keen eye for detail.

Responsibilities:

Receive Quote Requests:

  • Receive parts quote requests from the sales team.
  • Work with the customer directly to ensure all necessary details are provided for accurate quoting.

Research and Pricing:

  • Look up part pricing and availability from suppliers.
  • Gather detailed information about the parts, including specifications and lead times.

Prepare and Send Quotes:

  • Compile the gathered information into a formal quote.
  • Send the quote to the customer in a timely manner.

Follow-Up:

  • Follow up with customers to address any questions or concerns regarding the quote.
  • Update the sales team on the status of quotes (on an as-needed basis).

Order Processing:

  • If a quote is accepted and our customer sends us a purchase order for the quoted parts, process and confirm the order promptly.
  • Place orders for the quoted parts with internal and external suppliers.
  • Ensure all order details are accurately recorded in Emerald & Job folders.

Generate Spare Parts Lists:

  • Review bill of materials and generate a spare parts list to be stored within job folder structure.
  • Distribute to sales and project management teams on an as-needed basis.

Manuals Package:

  • Maintain vendor parts manuals library.
  • Distribute to sales and project management team on an as-needed basis.

Generate Job Packets:

  • Assemble a “Job Packet” consisting of all relevant documents pertaining to a completed job.
  • Distribute files in a neat and organized manner to sales and project management team for each job.

Communication:

  • Maintain clear and professional communication with customers and suppliers.
  • Coordinate with the sales team to ensure customer satisfaction (on an as-needed basis).

Record Keeping:

  • Keep detailed records of all quotes and orders. This information is to be stored within the quote and/or job folder structure.
  • Update the internal database with relevant information.

Continuous Improvement:

  • Suggest improvements to the quoting and ordering process.
  • Stay updated with industry trends and supplier changes.

Skills and Qualifications:

  • Strong attention to detail.
  • Excellent communication and interpersonal skills.
  • Ability to work independently and manage time effectively.
  • Proficiency in using office software and databases.
  • Basic understanding of parts and components relevant to the industry.
